Model - Driven Apps Get Streamlined with New Bulk Record Editing

For users of Dynamics 365 Model-Driven Apps, data management just got a whole lot faster and more efficient. Microsoft introduced a powerful new feature: Bulk Record Editing. This innovative addition allows you to streamline updates and modifications across multiple records simultaneously, saving you valuable time and effort.

What is Bulk Record Editing and how does it work?

Previously, editing data involved modifying individual records one at a time. With Bulk Record Editing, you can select a set of records within a view and apply changes to all of them collectively. This is ideal for scenarios like:

Updating common field values across multiple records (e.g., changing the status of all leads in a specific marketing campaign)
Setting the status of a group of records the same way (e.g., marking all closed opportunities as “Won”)
Assigning ownership of multiple records to a different user (e.g., assigning all high-priority cases to a dedicated support agent)

The process is user-friendly and straightforward. Here’s a step-by-step guide:

1. Accessing Bulk Record Editing:

Open your Dynamics 365 instance and navigate to the desired Model-Driven App.
Within the app, locate the specific table or entity containing the records you want to edit.
Select the view that displays the data you want to update.

2. Selecting Records for Bulk Editing:

On the view toolbar, locate the checkbox next to each record.
Click the checkbox to select individual records you want to modify.
Alternatively, click the checkbox at the top of the view grid to select all records displayed in the current view (useful for editing all records on the page).

3. Initiating Bulk Editing:

Once you’ve selected the records you want to edit, look for the “Edit” button on the view toolbar (it might appear as a pencil icon).
Clicking “Edit” will activate the Bulk Record Editing pane.

4. Applying Mass Edits:

The Bulk Record Editing pane will appear alongside the view, displaying a list of all selected records.
This pane will also showcase the available fields for the chosen records.
Locate the fields you want to modify across all selected records. These fields will be editable within the pane.
Make the necessary changes to the field values directly within the Bulk Record Editing pane. You can update a single field or edit multiple fields simultaneously.

5. Confirming and Saving Changes:

Once you’re satisfied with the edits, click the “Save” button at the bottom of the Bulk Record Editing pane.
A confirmation message might appear, prompting you to confirm the update for all selected records. Click “OK” to finalize the changes.
